In this demonstration, we’ll review how administrators can set up custom fields one at a time to help assign and track progress of Knowledge Tracks.
Custom fields allows you to create new categories of users in order to log employee statuses and collect the data most relevant to your organization. For example, you can create custom fields to log hire date, specialty, employee I-D, or any other field that’s helpful for you. You can create and update custom fields individually or in bulk.
To create a single custom field, navigate to My Practice, People. Click on the gear icon, choose manage custom fields, then click Add custom field. Name your Custom Field, then select the type of data you’d like to store. For example, you could select Number to store payroll I-D codes, Date to store hire dates, or Text to store job title. Selecting Options is a great way to reduce the chances of typos and human error.
In this example, we’ll create a custom field for employees preparing to take the S-C-S exam this year and next year. We’ll select Options, then enter in the two years.
Next, you can add data to the new custom field by navigating to My Practice, People. Search for the user, click on their name, then click Edit on the employee’s page. The new custom field will appear, and any options you created will be a dropdown menu. If you created a text field, you’ll be able to type in the data. You can also add custom field data on the Org. Management page when adding a new user.
Now we can assign Knowledge Tracks to people studying for the S-C-S exam, and we can customize the due dates to the year they’re taking the exam by assigning the groups one at a time. We’ll find the custom fields by navigating to the filters bar and clicking Advanced.
We can start by assigning the Knowledge Track to everyone in the 2021 group. Next, we’ll clear previous filters, then click Advanced again, and this time choose the 2022 group. After clicking Assign All, we’ll give this group a due date of a few months later.
