How do I assign Clinicians and Preceptors to Skills programs?

This article guides administrators through assigning Skills programs to both Clinicians (students) and Preceptors. You must have Admin permissions and an active Skills program created to complete these steps.

There’s a few key things to keep in mind when assigning Clinicians and Preceptors.

• Clinicians and Preceptors must both have Medbridge subscriptions assigned to their accounts.
• Preceptors will need to be assigned the Preceptor role before they can be assigned to a program.
• Preceptors can only see Clinicians at their same hierarchy level or lower (i.e. their region/clinic level and any other levels directly beneath them).
• At this time, Preceptors cannot be unassigned from a program. However, the Preceptor role can be removed if necessary to revoke their Preceptor access.

Assigning the Preceptor Role

Before a user can be assigned as a Preceptor to a program, the user will need to be assigned the Preceptor role. It’s also worth noting that Preceptors can only see Clinicians at their same hierarchy level or lower (i.e. their region/clinic level and any other levels directly beneath them).

To assign a role:

   1. Navigate to My Practice, then People.
   2. Search for and select the user.
   3. Select Edit Roles.
   4. Use the dropdown to add the correct role at the appropriate level (clinic, region, or organization).
   5. Select Add Role and confirm your changes.
   6. Confirm the user has an active subscription to be eligible for assignment.

Assigning Preceptors to a Skills Program

1. While viewing the Skills program, select the Preceptors tab.
2. Select individual Preceptors using checkboxes, or select Assign All to include everyone listed. You can also use the search or filters to find eligible users.
   
   Note: Confirm that users have the Preceptor role and an active subscription. Users without a subscription will appear in the list but cannot be selected.
3. Select the Assign button at the bottom of the screen.
4. In the confirmation modal, select Assign to complete the process.

Tip: it's recommended to assign multiple relevant Preceptors to each program.

Assigning Clinicians to a Skills Program

1. Select Skills in the Education Management menu.
2. Select the program you want to assign, then select the Assign tab.
3. Select individual Clinicians using checkboxes or select Assign All to include everyone listed. You can also use the search bar or filters to find specific Clinicians.
4. You will see a modal, explaining how the assigning process works and who you are assigning. You can also choose to set a Due Date and select to send an email notification.
5. When you are ready to continue, select the Assign button. To cancel assigning, select Cancel.

Troubleshooting

If you do not see expected names listed or cannot select them:

• Confirm the user is added to your organization.
• Ensure the user has the correct role (Clinician or Preceptor).
• Verify that the user has an active subscription. Users without one may appear but cannot be assigned.
