Skills is a digital skills and competency program management tool that helps healthcare organizations streamline onboarding, evaluate clinical competencies, and standardize training across teams. It replaces traditional paper checklists with a customizable, trackable platform that connects Admins, Preceptors, Students, and Managers.
Skills is designed to make competency tracking more consistent and less burdensome. With it, organizations can build digital checklists, assign programs to students and preceptors, attach learning resources, and monitor completion to stay audit-ready.
Programs, Checklists, and Skills
Every Skills program is made up of three main levels:
- Program: This is the overall training experience. It’s where you define who will participate, what they’ll learn, and when it should be completed. A program often reflects a specific workflow, such as onboarding or validating clinical competencies. This could be something like "New Employee Onboarding" or a specialized care program.
- Checklist: Checklists divide your program into sections. These might represent time periods (like “Week 1”) or themes (like “Patient Mobility Skills”). Checklists help organize skills in a logical way for Preceptors and Students.
- Skills: Skills are the individual items that Students complete and Preceptors review and are what make up each checklist. Each Skill includes a title, description, and optional training resources.
Role Visibility Summary
- Admins and KT Admins have full access to create, assign, and monitor Skills programs in Education Management.
- Preceptors see a program card on their dashboard for each program they’re assigned to. Within each program, they’ll see Students who are also assigned and fall within the same clinic, region, or organization level as their Preceptor role. They can review the skills for these Students.
- Managers have view-only access to programs and students under Education Management, and must be added as Collaborators to receive progress notifications.
- Students will view assigned programs, complete Self-Assessment surveys, and review resources as assigned.
- All roles can download student transcripts.
Admins and Builders
Admins (sometimes called Builders) are responsible for creating and managing Skills programs. They:
- Build customizable programs and checklists, including attaching training resources
- Assign programs to Preceptors and Students
- Configure due dates and determine visibility based on organizational hierarchy
- Review program progress through the Outcomes tab
- Add Collaborators and set notification preferences
Admins can assign the Preceptor role to users at any level: clinic, region, or organization.
It's recommended to assign all relevant Preceptors to a program, as you can have multiple Preceptors assigned to a single program. A Preceptor cannot be unassigned currently in Skills, but the Preceptor role can be removed if necessary which will revoke their Preceptor access.
Preceptors
Preceptors review and sign off on clinical skill checklists. Skills gives them a dedicated dashboard to:
- View assigned students and their checklists
- Review student self-assessments to determine their training needs and readiness for skill review
- Review skills, individually or in bulk, including feedback for skills that need remediation
- Leave evaluation notes that are stored as part of the student’s permanent record
Preceptors are granted visibility based on their assigned level in an organization. For example, a region-level Preceptor sees all students within that region who are assigned to the same program.
Students
Students will:
- Complete self-assessments for assigned Skills programs
- Complete assigned required resources
- Track their checklist progress and view feedback from Preceptors
Managers
Managers can view Skills programs but cannot create, edit, or assign them. They:
- Access program structure and student assignment details in a read-only format
- Access a preview of the program builder showing the program content
- Access the Outcomes page showing high-level reporting for assigned students and a read-only view of a student's review page showing self assessment responses, skills reviews, audit log, and resource progress
- Do not receive notifications unless added as Collaborators
To receive updates on checklist progress or completions, Managers must be added as Collaborators in the Notifications tab by an Admin.
