What is HR Sync?

HR File Sync is a system to keep your organizational and employee data in MedBridge synchronized with your HRIS (e.g., ADP, WorkDay, or Kronos) so that account changes, provisioning, and deprovisioning are automated.

You can choose to sync user, clinic, or roles files depending on your needs. There are two options for uploading sync files: You may upload HRSync files to MedBridge via SFTP, or MedBridge can reach out to your system to download HRSync files. MedBridge will sync our data with your files hourly.

Benefits

• Automatic updating of account changes (such as new employees, terminations, and name changes), to eliminate manual administrative work on your team.
• Support for custom fields such as Title, Department, Manager, Job Title, and Hire Date from your HRIS. (Formatting and requirements for custom fields are outlined in the HRSync templates file.)
• Ensures that your organizational data is the source of truth.

Considerations

• Specific requirements for HRSync files are outlined in our HRSync Technical Requirements.
• MedBridge will work directly with your HR Team, IT, and HRIS specialist to facilitate an SFTP feed as well as validate HRSync file formatting.

Implementation Process

• MedBridge coordinates a kickoff call with your organization to discuss requirements and process details.
• The MedBridge Implementation Team sends file templates and requirements.
• Your team and/or HRIS vendor creates a file export and validates it with MedBridge.
• MedBridge creates an SFTP folder and sends its credentials to you.
• After you drop the file(s) into the SFTP folder, MedBridge syncs it manually and validates that the sync performed as expected.
• Automated hourly sync is turned on.

HR Sync Flow

1. CONFIGURE USER FILE: 
   1. An export from the HR/Identity Management System will need to be configured to MedBridge’s .csv user file specification. This is a one-time setup.
2. DELIVER USER FILE TO MEDBRIDGE SFTP:
   1. The user file should be uploaded/sent to MedBridge's SFTP on a regular basis established by the client. This can be monthly, weekly, or daily.
3. MEDBRIDGE UPDATES AUTHORIZED USERS: 
   1. Whenever a new user file is detected on the SFTP server, MedBridge will process the file and provision or deprovision users accordingly.
